The Core Difference

A one-time invoice bills for a discrete supply — a single product sold, a project delivered, a consultancy assignment closed. A subscription invoice bills for ongoing access to a service over a billing cycle — monthly SaaS access, annual AMC, quarterly retainer. The one-time invoice ends with payment, while the subscription invoice repeats automatically at every cycle until cancelled. The business models behind them are fundamentally different: subscription revenue is predictable but requires churn management, while one-time revenue is lumpy but transactional.

GST Treatment Per Billing Cycle

Each subscription billing cycle is a separate "continuous supply of service" under Section 31(5) of the CGST Act. A monthly SaaS invoice triggers GST liability for that month, and a fresh invoice must be issued before the contractual due date or end of the cycle. Annual subscriptions billed upfront create a one-shot GST liability for the full period, while monthly subscriptions spread it. The HSN/SAC stays the same across cycles, but the invoice number must be unique. For year-long subscriptions invoiced monthly, time-of-supply is the earlier of invoice date or payment date for each cycle.

NACH Mandates and Auto-Debit

For B2C subscriptions and many B2B retainers, NACH (National Automated Clearing House) mandates let the provider auto-debit the customer's bank account at each cycle. The customer signs a one-time mandate authorizing recurring debits up to a specified limit, and the bank executes them on the due date. This dramatically reduces collection effort and churn from forgotten payments. For cards, RBI rules now require additional factor authentication for subscriptions above Rs. 15,000 per cycle, so NACH is often preferred for higher-value recurring bills.

Dunning and Churn Management

Failed subscription payments are inevitable — expired cards, NACH bounces, insufficient balance. A dunning workflow automates the retry sequence: first retry next day, second after three days, send polite reminder emails, suspend service after 7-10 days, finally cancel and write off. Each step should be templated and timed. Good dunning saves 30-40% of revenue that would otherwise churn. Track both involuntary churn (failed payments) and voluntary churn (cancellations) separately because they need different fixes.
