Bill formats for shops
The bills a GST-registered shop deals with every day, in one place: the GST tax invoice you give when you sell, the quotation you send before an order, and the purchase bill you get from your supplier. Each format page has a filled sample and free Word, Excel and PDF files.
GST bill (tax invoice)
The bill you give when you sell. It must show your GSTIN, a unique invoice number, the customer’s details, the HSN code, quantity and taxable value of each item, the GST rate and amount (CGST + SGST in your state, IGST to another state), the place of supply and a signature. See the full checklist and two filled examples in the GST bill format, or make one in your browser with the free GST invoice generator.
Quotation
The price offer you send before the customer orders: items, rates, GST, the total, how long the prices hold and your terms. It is not a tax document. See the quotation format with a filled sample, or make one with the free quotation maker.
Purchase bill
A purchase bill is your supplier’s tax invoice to you, so it follows the GST bill format; you do not make it yourself. When it arrives, check:
- your business name and GSTIN are correct, or you cannot claim the input tax credit;
- the supplier’s GSTIN, the invoice number and the date are there;
- the HSN codes, quantities and rates match what you received;
- the GST is CGST + SGST if the supplier is in your state and IGST if not.
Then record it. In the BillBabu app, saving a purchase bill adds the items to your stock, and the bill shows in that supplier’s ledger. See the billing app for kirana stores.
