What is a P&L statement
A financial report summarising revenue, costs and profit over a period — month, quarter or year. The single most important report for an owner-operator to understand.
Structure top to bottom
Revenue (gross sales). Less: returns & discounts → Net revenue. Less: COGS → Gross profit. Less: operating expenses (rent, salary, marketing) → Operating profit. Less: tax/interest → Net profit.
Key metrics to watch
Gross margin (Gross profit ÷ Revenue × 100). Operating margin (Operating profit ÷ Revenue × 100). Net margin (Net profit ÷ Revenue × 100). Track monthly; spikes/dips tell a story.
How to create one fast
In a billing app, your sales data is already structured. Add purchases and expenses, and the P&L is one click. Spreadsheets work but become painful past 50 transactions a month.
Use it for decisions
Cut categories where expenses outpace revenue growth. Double down on high-margin product lines. Time investments to high-cash-flow months.
