Migrating from Tally to Modern Billing Software: A Clean Switch Plan

Why People Are Leaving Tally

Tally was built for the desktop era and still requires a Windows machine, manual backups, and a deskbound user. Mobile access is clunky, multi-user setups need a server licence, and cloud sync is bolted on rather than native. Modern billing software gives you the same accounting rigour with mobile apps, automatic backups, and instant multi-user collaboration. The transition is no longer optional for growing teams.

Step 1: Export Your Tally Data

In Tally, export Masters (parties, products, ledgers) and current-year vouchers to Excel or XML. Clean the Excel files by removing empty rows, fixing duplicate party names, and normalising GSTINs. Pay special attention to opening balances for parties, stock, and bank accounts. This is the single most error-prone step, so do it carefully.

Step 2: Import Parties, Products, and Balances

Most modern billing tools accept CSV import for parties and products in one shot. Map columns carefully — Tally calls customers Sundry Debtors and suppliers Sundry Creditors, which need to land in the right type. Import opening balances as journal entries dated the day before your go-live. Verify totals against your Tally trial balance before proceeding.

Step 3: Parallel Run for 30 Days

For one full month, record every transaction in both Tally and the new software. At month-end, compare GST output, party balances, and stock levels. Investigate any mismatch immediately — they almost always trace to a data-entry error or a missed opening balance. After a clean parallel month, you can confidently retire Tally for daily use.
