Free vs Paid Billing Software: What You Actually Get

"Free billing software" can mean a spreadsheet template, a one-off online invoice maker or an app with limits. Here is what each kind really gives you, what a paid plan adds, and how to decide without wasting a month.

None of these is wrong. The question is whether it fits how many bills you make and how much else you need to track.

What free usually leaves out

  • A record of who owes you. A template makes the bill, but the dues still live in your head or a notebook.
  • Stock. Free tools rarely reduce stock when you sell or raise it when you buy.
  • Automatic numbering that never repeats within the financial year, which GST requires.
  • Reports for your CA: sales, purchases and GST totals for the month.
  • Quick updates when GST changes. When the rates changed on 22 September 2025, every template with old rates had to be fixed by hand.

What a paid plan should give you

Paying makes sense only if you get more than the free route. At a minimum, a paid billing app should:

  • make GST-compliant invoices with HSN codes and the right CGST + SGST or IGST split;
  • keep your customers and products, so a bill takes seconds;
  • share bills as PDFs, on WhatsApp and email;
  • track payments and show what each customer still owes;
  • keep your stock in step with sales and purchases;
  • give you monthly reports to send your CA;
  • show its price openly and let you try it before paying.

Worked example: the cost of "free"

Ramesh runs a hardware shop and makes about 200 bills a month in a spreadsheet. These are his own rough timings, not industry figures, but try the sum with yours.

  • Typing a bill, checking the GST and saving it: about 6 minutes. In an app where products and customers are already saved: about 2 minutes. Saving: 4 minutes a bill, or roughly 13 hours a month.
  • Working out who owes what at month end: about 3 hours with a notebook, a few minutes in an app.

That is about 16 hours a month. If those hours are worth more to him than a monthly plan, paid software is the cheaper option. If he only made 10 bills a month, the spreadsheet would be fine.

Questions to ask before you pay

  • Can I try it with my real bills first, without giving a card?
  • Is the price shown up front, and does it go up after the first year?
  • Does it work the way I work? On a phone at the counter, on a computer in the office, or both. Online only, or offline too.
  • Does it have the current GST rates and the documents I need (invoices, estimates, purchases)?
  • What happens to my bills if I stop paying?
  • How do I get help when something goes wrong?
