# Best Billing Software for Small Business in India: How to Choose

## Why this is not a "top 10" list

Ranked lists of billing software are everywhere, and most are written by one of the companies on the list. We make one of these apps too, so we will not pretend to rank our competitors. Instead, here is how to judge any billing software, ours included, against your own business.

## Start with how you work

- **Where do you make bills?** At a counter with a computer, on a phone while you visit customers, or both?
- **Is your internet reliable?** If not, offline use matters more than any feature.
- **Who makes the bills?** Only you, or staff who need their own logins?
- **What do you sell?** Many items scanned at a counter, a catalogue of products, or services billed by the job?
- **Who does your accounts?** If your CA does them, you need clean reports. If you do them yourself, you need accounting software.

## Match the software to your business

- **Busy retail counter** (supermarket, medical store): you probably need barcode scanning and a receipt printer, which means POS-style software on a computer.
- **Kirana, hardware or electrical shop** with regular credit customers: a billing app with a product list, party dues and WhatsApp sharing.
- **Trader or distributor on the move:** a phone app that can make and share a bill at the customer's place.
- **Service provider or freelancer:** invoices and quotations with SAC codes; stock does not matter.

## A one-week trial plan, with a test bill

Use the free trial for real work, not a quick look. In the first week:

1. Add 20 of your best-selling products with prices, HSN codes and GST rates, and 10 regular customers.
2. Make every bill of the week in the new software, alongside your old method.
3. Check one bill by hand. For example, a same-state bill with ₹1,000 of goods at 5% and ₹2,000 at 18%: GST is ₹50 + ₹360 = ₹410, split as CGST ₹205 and SGST ₹205, and the total is ₹3,410. The software must match to the paisa.
4. Record a part payment from a customer and check that their balance is right.
5. Send one bill on WhatsApp and ask the customer if it opened properly.
6. At the end of the week, make a sales report and show it to your CA.

If the software is still easier than your old method after a week, it is a good fit. If you are still fighting it, it is not, however high it ranks on someone's list.

## Red flags

- **No price on the website**, or a price you only learn after a sales call.
- **A trial that needs your card** and renews into a paid plan without warning.
- **Features in the ads that you cannot find in the app.** Ask where they are before you pay.
- **Bills that miss required GST details**, such as HSN codes, the place of supply or the tax split.
- **"Free forever" with the useful parts locked.** Read what the free plan really includes.
