## Why Accounts Payable Deserves a Process

Accounts Payable (AP) is everything your business owes to vendors for goods and services received but not yet paid. For a small business, AP is also where most cash leakage and compliance failures happen — wrong GST claimed, TDS not deducted, duplicate payments, and missed input credit because the supplier never filed GSTR-1. A documented AP process pays for itself within a quarter just in recovered input tax credit. The four pillars are vendor onboarding, invoice receipt and verification, three-way matching, and scheduled payment.

Before the first invoice, collect the vendor's GSTIN, PAN, bank details, MSME registration (Udyam) status and a cancelled cheque. Capture whether the vendor falls under MSME, because Section 43B(h) of the Income Tax Act now disallows expense if a payment to a Micro or Small Enterprise is not made within 45 days. Decide and document the TDS section and rate that will apply, and get a PAN-based declaration for lower or no TDS if applicable.

Every vendor invoice must match three documents before payment is approved — the Purchase Order (what was ordered), the Goods Receipt Note or service confirmation (what was received), and the invoice itself (what is being billed). Quantities, rates, GST rates and total values must reconcile. Discrepancies above a tolerance (say 2% or Rs. 500) need approval from a second person. This simple check eliminates the most common vendor frauds — over-billing, ghost deliveries and duplicate invoice submissions.

## Payment Scheduling and Cash Flow

Group vendor payments into weekly cycles instead of paying daily — it improves your cash forecast and gives negotiating leverage. Always pay MSME vendors within 45 days to protect your tax deduction, statutory dues (GST, TDS, PF, ESI) by their due dates, and other vendors as per agreed credit period. Use a rolling 30-day AP ageing report and tag invoices by due date — anything more than 60 days late should escalate to the owner. Reconcile your supplier ledger with their statement at least once a quarter to catch missed credit notes.
